How to enter bills in QuickBooks Online with AI

Step by step

   Connect QuickBooks to your AI

   Add LedgerLink to Claude or ChatGPT as a connector and sign in. Connect the client's QuickBooks Online company once.

2. 02

   Drop in the invoice

   Attach the vendor's PDF or paste the email, and say which client: "Enter this bill for Acme Bakery."

3. 03

   Let the AI look things up

   It searches QuickBooks for the vendor and the expense account that vendor is usually coded to, and reads the invoice number, date, due date and lines.

4. 04

   Check the preview

   You get a table with vendor, date, due date, account, amount and memo. Nothing is in QuickBooks yet.

5. 05

   Approve

   Say yes and it's posted, with a private note recording who asked for it and why. Say no, or correct a line, and nothing is posted.

6. 06

   Do a batch

   Attach several invoices at once and ask for all the previews together, then approve them in one go.

Tips for accurate bills

• Tell the AI your rules once: "Sysco is always Cost of Goods Sold, net 30".
• Ask it to check for duplicates first: "make sure this invoice number isn't already entered".
• Ask it to attach the PDF to the bill so reviewers can see the source.
• For new vendors, have it create the vendor first and show you the details.

Questions

Can ChatGPT or Claude enter bills into QuickBooks?

Yes, when connected to QuickBooks Online through an MCP connector such as LedgerLink. Each bill is previewed and only posted when you confirm.

What if the AI picks the wrong account?

You see the account in the preview before anything is posted. Correct it in the chat and it will update the preview.

Can it pay the bills too?

Yes. Ask it to pay specific bills from a bank account; the payment is previewed and confirmed the same way.
