How to use AI across multiple QuickBooks Online companies
Most AI connections to QuickBooks reach one company at a time. A firm with dozens of clients needs the opposite: every client reachable from the same chat, with the right people limited to the right clients. Here's how to set that up.

The setup
- 01
Connect each client once
In LedgerLink, click Connect to QuickBooks and pick a client company. Repeat for each client. Connections are refreshed automatically.

Assign staff to clients
On the Team page, tick which companies each person can reach, read-only or with posting rights.

Everyone adds the same connector
Each person adds LedgerLink to their own Claude or ChatGPT and signs in as themselves. What they can reach comes from your assignments.

Name the client in every request
"Show open bills for Acme Bakery." If someone forgets, the AI is required to ask which client before it does anything.
Working across clients
- Ask the same question for each client: "For each of my companies, how many invoices are over 60 days?"
- Use the month-end review in the LedgerLink dashboard (early access) to see what's flagged for every client at once.
- Switch clients mid-conversation just by naming them.
