What is MCP? A plain-English guide for accountants

MCP, the Model Context Protocol, is the standard way AI assistants like Claude and ChatGPT connect to other software. For accountants it's the difference between an AI that talks about bookkeeping and one that can actually look at, and work in, a client's QuickBooks.

MCP in one paragraph

An MCP server is a small service that sits between your AI assistant and an app. It tells the AI what it's allowed to do ("search bills", "create an invoice", "run a P&L") and does those things on the AI's behalf. You add the server to Claude or ChatGPT as a connector, sign in once, and from then on you can ask in plain words and the AI uses those actions to get real answers.

What changes for a bookkeeper

  • Questions get answered from the actual books, not from a pasted export.
  • Data entry becomes a conversation: "enter this bill", then you approve a preview.
  • Reports, aging and clean-up lists come back as tables you can act on.

What to check before connecting client books

  • How it signs in. Look for the software's official OAuth sign-in (for QuickBooks, Intuit's), never a shared password.
  • Who can reach which client. In a firm, staff should only reach the clients assigned to them.
  • Whether the AI can post without asking. Writes should come back as a preview and wait for a person's yes.
  • Whether there's a log. You should be able to see who looked up or posted what, and when.
  • What's stored. Ideally the books stay in QuickBooks and only the connection and a log are kept.

Single-company vs firm MCP servers

Most QuickBooks MCP servers are built for one business: one company, one login. That's fine for an owner. A bookkeeping firm needs one connector that reaches every client, with access set per employee. That's what LedgerLink is built for.

Questions

What does MCP stand for?
Model Context Protocol. It's an open standard, introduced by Anthropic in 2024, for connecting AI assistants to tools and data. Claude, ChatGPT and many other AI tools support it.
Do I need to be technical to use an MCP server?
No. With a hosted server like LedgerLink you paste one link into Claude or ChatGPT and sign in. There's nothing to install.
Is MCP safe for client data?
MCP is just the connection standard; safety depends on the server. Check sign-in method, access controls, approvals before posting, and logging.
