How to clean up uncategorized expenses in QuickBooks Online with AI
Every client file collects them: card charges and checks parked in Uncategorized Expense or Ask My Accountant, waiting for someone to figure out what they were. Here's how to work through that pile with Claude or ChatGPT connected to QuickBooks Online, where the AI does the digging and suggests the account, and you approve every change before it's made.
14 days free, no card needed. $15 per company a month after that.
Step by step
- 01
Connect the client's QuickBooks
Add LedgerLink to Claude or ChatGPT and connect the client's QuickBooks Online company once.
- 02
Pull the list
"For Acme Bakery, list everything in Uncategorized Expense and Ask My Accountant this year, with date, payee, amount and memo." The AI runs a transaction report on those accounts and gives you a table.
- 03
Let it find the pattern
Ask it to look up how each payee was coded before: "For each payee, what account have their other transactions gone to?" Most of the pile is vendors that already have a history.
- 04
Review the suggestions
You get a table of transaction, payee, amount and suggested account, with the ones it isn't sure about marked. Strike or change any line in the chat.
- 05
Approve the fixes
Each recategorization is shown as a preview first; nothing changes in QuickBooks until you say yes. Approve them one by one or all together.
- 06
Leave the unknowns for the client
Ask for a short list of the ones it couldn't place, written as plain questions you can paste into an email to the client.
Good prompts to use
Find the pile
For [client], show every transaction in Uncategorized Expense and Ask My Accountant from Jan 1 to today, largest first.
Suggest accounts
For each one, suggest the expense account based on how the same payee was coded before. Mark anything with no history as 'ask client'.
Fix a batch
Recategorize the ones you're confident about. Show me all the previews together.
Questions for the client
Write the remaining ones as a short list of questions for the client: date, payee, amount, and what we need to know.
Things to know
- Changing an expense's account changes the transaction in QuickBooks, so review the preview the same way you'd review a manual edit.
- Every change made through LedgerLink gets a private note on the transaction saying who asked for it and why, and is recorded in your firm's activity log.
- Transactions still waiting in the bank feed's For Review tab aren't in the books yet, so the AI can't see them. This works on transactions that have already been added.
- QuickBooks doesn't let connected apps change anything dated in a closed period. LedgerLink tells you which ones those are, and someone with the closing password fixes them in QuickBooks itself.
- Changes to existing transactions always need a yes in LedgerLink, even if your firm lets some new postings go straight through.
Questions
- Can ChatGPT or Claude recategorize transactions in QuickBooks Online?
- Yes, when connected through an MCP connector such as LedgerLink. The AI suggests the account, shows you a preview of the change, and only updates QuickBooks after you confirm.
- How does the AI know which account to use?
- It looks at how the same payee's other transactions were coded in that client's books, plus any rules you give it (for example, 'Amazon is always Office Supplies for this client').
- Can it clear the bank feed's For Review transactions?
- Not directly. QuickBooks doesn't make unreviewed bank-feed transactions available to connected apps. Add them in QuickBooks first, then clean up any that land in Uncategorized.
- Is there a record of what was changed?
- Yes. Each change carries a private note with who asked for it and the reason, and appears in your firm's LedgerLink activity log.
